HRMS for agencies: attendance, leave and recognition before more modules

A practical HRMS starting point for creative and digital agencies: team availability, leave decisions, recognition and clear ownership.

The short answer

An agency can have a project-management tool and still run people operations through messages and spreadsheets. Client delivery has its own deadlines, but leave approvals, attendance corrections and recognition need clear owners too. An agency HRMS should support those people processes without pretending to replace the tools used to deliver client work.

Separate people availability from project time tracking

Attendance asks whether the working-day record is complete and whether leave or a correction needs review. Project time tracking asks how time is allocated to tasks or clients. Those are different requirements. Do not assume an attendance system also calculates client utilisation or billable hours.

Start with the people questions your agency repeatedly asks: who has requested leave, whose attendance record needs correction and which manager should decide? If project scheduling or time sheets are essential to the purchase, put them on a separate validation list.

Make the reporting line usable in practice

A person may work with several project leads while having one reporting manager. Decide who approves leave and attendance corrections before configuring the system. Client urgency should not leave employees guessing which conversation counts as the final decision.

Use an illustrative case: a designer requests leave during a busy delivery period. The reviewer checks the roster and coordinates coverage through the agency’s normal planning process. The leave decision is then recorded in the people system. Do not imply that an HRMS automatically replans client assignments unless that capability has been demonstrated.

Recognise more than the pitch win

Client wins and major launches are visible. Documentation, a helpful handover and support across account teams can be harder to notice. Give people a way to describe those contributions while the details are still clear.

Rise & Shine provides everyday appreciation in People Impressions. Champs provides a separate nomination and review process for awards. Ask reviewers to consider contribution context rather than treating the most visible project as the only work worth recognising.

Add Finance and hiring where there is a clear need

If employee claims are creating follow-up chains, define the claim information, manager review and Finance verification. If invoice requests are part of the scope, agree the Zoho organisation, field mapping and review boundary. A connection should have an owner on both sides.

Recruitment can follow when the agency needs a consistent route from hiring request to candidate stages and joining coordination. Payroll can follow when inputs, ownership and the release process are ready. Adding every module at once is not a prerequisite for improving attendance and leave.

Run a small, representative walkthrough

Use anonymised examples from different functions: creative, account management, delivery and administration. Test a normal request and a returned one. Check what the employee, reporting manager and HR see at each step.

Agree what success means in operational terms: staff can find their balances, reviewers know their queue and unresolved items have owners. After the initial setup, review the questions employees actually raise. Use those questions to improve guidance and decide which workflow should be connected next.

Your checklist

  • Keep attendance and billable-time requirements separate.
  • Confirm the leave reviewer for cross-project employees.
  • Include quiet, cross-team contributions in recognition examples.
  • Map claim and invoice responsibilities before adding integrations.
  • Test the employee, manager and HR views with representative roles.

See the workflow in practice

Start with an agency workday: one attendance correction, one leave request and one cross-team contribution.
