A leave management policy checklist before you choose software
Clarify leave balances, accrual, approval owners and exceptions before configuring your leave management system.
The short answer
Leave management software can route a request, but it cannot resolve a policy nobody has agreed. Before comparing tools, turn your leave policy into a set of decisions that an employee, a manager and HR can all explain. Start with the balance, the approval route and the exceptions.
Define the balance employees should see
For each leave category, document who is eligible, when leave becomes available and how the balance is calculated. If your organisation allocates leave monthly, distinguish the opening balance from the amount added each month. Do not describe monthly allocation as a universal requirement: it is a policy choice that must fit your applicable obligations.
Specify how joining dates, opening balances and a change in employment status are handled. Use fictional examples to check the calculation before importing employee records. A correct total on launch day is only the start; the next allocation should also be explainable.
Name the approval owner
Write down who receives a request and what that person checks. For example, a reporting manager may review the requested dates against the team roster. HR may maintain the policy and investigate exceptions. Avoid making “HR will handle it” the answer to every unclear step.
Decide what should happen when the reporting manager is unavailable. Confirm whether the chosen software supports your proposed arrangement rather than assuming delegation exists. Employees should know where the request is, even when the decision takes longer than expected.
Decide the edge cases before launch
List the situations that already cause questions: a partial day, a request spanning a holiday, a cancelled request, a balance correction or time off submitted after the date. For each, record the required information, decision owner and expected balance effect.
This is an operating checklist, not legal advice or a statutory leave schedule. Have the responsible HR or legal adviser confirm the rules that apply to your workforce and location. Software configuration should reflect those approved rules, not substitute for them.
Keep the decision visible
Consider a fictional employee asking for two days off next month. A useful walkthrough shows the balance before submission, the manager’s decision and the balance afterwards. If the request is returned, the employee should understand what is missing. If it is cancelled, establish how the record and balance are treated.
Transparency does not mean publishing private leave reasons to the whole team. Separate the information needed for planning from personal details used in a restricted review. Agree those boundaries while mapping roles.
Test the policy, then connect the wider process
Create a small test sheet with a starting balance, request dates, expected decision and expected ending balance. Include a new joiner and a holiday-crossing request as well as a straightforward case. Ask the implementation team to walk through the results with you.
Where payroll is included, agree how approved leave and unresolved exceptions reach the payroll review. Where it is not, keep the initial goal focused: a balance people can check, a request they can follow and a decision the manager can explain.
Your checklist
- Document eligibility, allocation timing and opening balances.
- Assign the normal reviewer and agree absence coverage.
- Write expected outcomes for cancellations and other exceptions.
- Separate private reasons from team planning information.
- Test sample balances before enabling employee access.
